One system, three parts
A page for each real thing. A site, a route stop, a property, a case, a machine. What it is, how to get in, what belongs in it, what went wrong here before.
A code on the thing itself. Scan it with the phone already in your hand and that page opens. No account, no app, no login, and it works with no signal.
The onboarding beside it. What somebody reads before their first day, what each role owns, and the few minutes of standing instruction that make two different leads run a job the same way.
Why the code goes on the thing
Systems like this usually die at the step where somebody has to find the right record. Searching a list while holding a case is the moment people stop bothering, and a record nobody updates is worse than no record because it is believed.
Scanning what is in front of you removes that step. It is the only interface a person with wet hands and a van running will actually use.
Your trade
The structure is the same. The vocabulary is not, and the vocabulary is most of what makes a system usable.
Events. Cases photographed packed, crew onboarding, the pre shift.
Pools and route service. A page per property with the equipment pad, access, animals and chemical history.
Construction. A page per site with access and the order of work, and tool boxes that come back full.
Cleaning, catering, courier work, pet care, repair intake, print and machine shops. If people go out and things go with them, it is the same build.
What it is not
It does not quote, schedule or invoice. If you already run a scheduling platform or a staffing portal, keep it. A portal tells somebody they are working Saturday. It does not tell them what is in the case or how the room runs.
Specification
Runs from your own web space or a folder on your own machines. No installation and no accounts to provision. Every record and photograph stays in your possession in open formats, exportable to a single file at any time. Full function with no connectivity. Static files and standard formats, so the system does not depend on a vendor staying in business.
Commercial terms
Perpetual, as a single payment, configured around your operation with your content loaded, and ownership transfers on delivery. Or maintained, with the same build kept current as the operation changes.
Scope is set by how many things there are and how much is built with you. Ten percent of every engagement funds the Stewardship Fund.
